LIBRARY RESERVATION

To maintain a productive and orderly environment for all library users, we have established guidelines for event reservations and activities within the Library. These policies ensure that the space remains accessible for students who need a quiet area for studying and reading. If you are planning to hold an event, please take note of the following important regulations:
RULES AND GUIDELINES
- The Library will only allow a maximum of 2 events per week at the Library-Left Wing. This is to ensure that the Library shall always be available for those who wish to use the premises for their studies / reading time.
- Booths that intend to sell items are prohibited and will automatically not be approved. This is to maintain the orderliness inside the library.
- Event setup with no approval from the librarians is not permitted and will forfeit the student and/or organization’s request for reservation.
- Hanging up any cloth or other materials that will cover up the glass window at the Left Wing is not allowed.
- Food and drinks are not allowed inside the Left Wing.
- Maximum capacity at the Library-Left Wing is 40 pax. Maximum capacity at the Library-Right Wing is 60 pax.
USE OF LEFT WING FOR EVENTS
The left wing is available for use to hold activities such as seminars, workshops, forums, etc. CIIT Department or Student Organization planning to hold their activity at the said area must:
- Inquire about the availability of the Library to the librarians by visiting the Library at the 2nd Floor, or you may reach out to them through email ([email protected]).
- Inform the librarian-in-charge on the details of your event/activity by sending a copy of your event proposal / formal letter with program flow through email at least 2 weeks prior to your event. The Library reserves its rights to deny any short notice reservation inquiries.
- For student-led activities, the letter should be endorsed by either the faculty-in-charge for class related events or the organization’s adviser. Any inquiries lacking a proposal / letter will be automatically denied.
- Once your event is approved, the librarian-in-charge will book your reservation via Google Calendar. An email will be sent to confirm your reservation along with a Google Calendar invite.
- On the day of your event or activity, approach any of the librarians to notify them about your scheduled reservation before your ingress.
